Workshop Terms & Conditions
Bookings Policy
Places are allocated on a first come first served basis. No refund is available once the course has started. Participants may cancel up to 48 hours before the beginning of the course booked, and a refund can be arranged. Refunds will not be issued if a participant cancels with less than 48 hours' notice, fails to attend, or arrives late.
Materials and Equipment
Prior to the start of the workshop, you will be be notified of materials and/or equipment included, and any that are additional. Unless stated otherwise in the workshop details, the cost of additional materials and/or equipment is not included in the Workshop Fee.
Photography
Courses and events are photographed for documentation and marketing purposes. The images are for commercial use and may appear on this website, email newsletters, on social media (Facebook, Instagram), in printed and digital materials including print and online adverts, posters and outdoor adverts, or in reports to funding bodies and in other marketing activity not listed here. If you would not like to be included in the photographs taken during the course, please indicate this when booking or on the day.
Copyright
Copyright of drawings created by participants remains with the participant. Originals will be retained by them unless otherwise agreed.
Aimee Labourne retains the copyright of any images captured by them during the workshop (e.g. photographs of the event or participant work). These may not be copied or used without prior written permission.
Liability
Aimee Labourne cannot be held responsible for any loss or damage to personal belongings during the workshop. Participants are responsible for any damage caused to workshop equipment due to negligence, and may be liable for replacement or repair costs. Respect is encouraged for all locations used. Any damage to the venue or surrounding property caused by a participant will be their responsibility. In the event of the workshop being cancelled, Aimee Labourne’s liability is limited to the value of the workshop fee.
Health & Safety
It is Aimee Labourne’s duty to ensure, as far as is reasonably practicable, the health, safety and welfare of all participants and assess risk. Participants will be advised of any hazards or other potential risks during the workshop introduction. Participants must at all times act with the safety of themselves and others in mind, and are are responsible for following safety instructions. Aimee Labourne is not liable for accidents or injuries occurring due to disregard of the safety procedures. If a participant acts in a way that endangers themselves or others, this may result in removal from the workshop.
Disclaimer
Reasonable steps have been taken to ensure that the course information provided is accurate. All workshops are subject to change without notice. Whilst every effort is made to ensure that each workshop runs as advertised, Aimee Labourne reserves the right to change or cancel course as a result of circumstances beyond control or external factors. In the event of weather related difficulties (e.g. unsuitable conditions for an outdoor workshop), the session may be rescheduled at short notice. An alternative date (within 6 months) will be offered. If this is not suitable, a full refund will be issued.
Workshop Privacy Policy
In order to carry out services as outlined on aimeelabourne.co.uk, including buying a service or product and workshop delivery, the following information is collected, depending on the nature of the service:
Names, contact details
Emergency contacts
Any disclosed information about support needs
Some of this information may be personal information. To comply with data protection law, the personal information held about you must be:
Used lawfully, fairly and in a transparent way
Collected only for valid purposes that are clearly explained to you and not used in any way that is incompatible with those purposes
Relevant to the purposes we have told you about and limited only to those purposes
Accurate and kept up to date
Kept only as long as necessary for the purposes we have told you about
Kept securely
The information from you that is collected is used to ensure that workshops are run safely and efficiently, to maintain high levels of service delivery and communication with participants, and to meet safeguarding obligations.
GDPR Compliance:
All information will be stored securely. Appropriate technologies and procedures are adopted so that participant information is protected from unauthorized access or improper use. Personal information is held securely within a password protected IT system. Programmes used include:
• Mailchimp – privacy policy
• Microsoft Office 365 – privacy policy
• Website hosting: Squarespace - privacy policy
Personal information is kept only as long as necessary for the purposes we have told you about (for example for the duration of a workshop). Safeguarding records will be kept for the appropriate amount of time. This is until the child concerned is aged 25, and for vulnerable adults, at least until they reach their normal retirement age or for 10 years (whichever is longer).
Personal information given is confidential. An exception of this would only be if there was immediate risk to wellbeing. Any concerns about an adult must be passed on and therefore cannot remain fully confidential; however, only essential personnel must be informed. All information will remain within the line of reporting.
When information must be shared:
When there is concern about someone's immediate safety
If someone is at risk of significant harm
If required to by law (court orders, formal investigations)
If explicit consent has been gained to share
How Information is shared:
Only on a "need to know" basis
With appropriate services (Adult Protection Team, Police)
With partner organisations where agreed (e.g., a mental health charity)
Participants have the right to access the information that is held about them, also known as a Subject Access Request, and request corrections. Requests for access to personal information will receive responses as quickly as possible, and it will be ensured information is provided without undue delay.
Confidentiality limits are explained to participants at the start of workshops, so they understand when information might need to be shared.
